1. Who we are

NudgePay is invoice chasing and payment reminder software for small businesses. This Privacy Policy explains how NudgePay collects, uses, stores, and protects information when you use our website, dashboard, and connected email features.

2. Information we collect

We may collect and process the following information:

  • Account information, such as your username.
  • Business profile information, such as business name, owner name, email address, phone number, payment link, and email signature.
  • Invoice and client information you enter, including client names, emails, phone numbers, invoice numbers, due dates, payment status, amounts, notes, and reminder history.
  • Connected email account information, such as your email address, provider, OAuth access tokens, refresh tokens, token expiry information, and connected status.
  • Billing and subscription information handled through Stripe.
  • Technical information such as device, browser, push notification subscription details, and basic usage logs.

3. How we use your information

We use your information to:

  • Create and manage your NudgePay account.
  • Display your invoice dashboard and client records.
  • Generate invoices and reminder messages.
  • Send invoice and payment reminder emails when you choose to send them or enable reminder automation.
  • Send PWA notifications about invoices that are due, if you enable notifications.
  • Manage billing, usage limits, and subscriptions.
  • Protect the security and reliability of the service.

4. Google user data and Gmail access

If you connect a Gmail account, NudgePay uses Google OAuth to request permission to send emails from your connected Gmail account. NudgePay uses this access only to send invoice-related emails and payment reminders that you request or configure in the app.

NudgePay does not sell Google user data. NudgePay does not use Google user data for advertising. NudgePay does not allow humans to read your Gmail messages through this feature. NudgePay only uses the connected Gmail permission for the invoice reminder functionality provided inside the app.

5. Email providers

NudgePay may allow you to connect Gmail or Outlook. OAuth tokens are stored so NudgePay can perform the email actions you request. You can disconnect your email account from the Profile/Settings area of the app.

6. Payments and Stripe

NudgePay uses Stripe to process subscriptions and payments. We do not store your full card details on our servers. Stripe may process your payment information according to its own terms and privacy policy.

7. Push notifications

If you enable phone or PWA notifications, NudgePay stores a push subscription linked to your account and device. This is used to send invoice due-date notifications. You can disable notifications from the app or your device settings.

8. Data sharing

We do not sell your personal data. We may share data with trusted service providers only where necessary to operate NudgePay, such as hosting, database, email provider APIs, payment processing, and error monitoring.

9. Data security

We take reasonable technical and organisational measures to protect your information. However, no online service can guarantee absolute security.

10. Data retention

We keep your information for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and maintain security.

11. Your choices

You may update business profile information, disconnect email accounts, disable notifications, or contact us about account or data requests.
